Who runs EventMatched

EventMatched is operated by Merkenberg, the sole proprietorship (eenmanszaak) of C.J. Bodbijl, registered with the Dutch Chamber of Commerce (KVK) under number 82826218, based in the Netherlands. For anything about this policy or your data, contact info@eventmatched.com.

What we collect

If you organize events through EventMatched, we collect:

  • Your email address and password (handled by our authentication provider, Supabase).
  • Your organization's name and the events, rounds, and participants you set up.

If you register as a participant in someone else's event (no account needed — just a link), we collect:

  • Your name, email address, and optionally a phone number.
  • Your meeting preferences — who you're open to meeting — which the event's organizer uses to generate matches.
  • Which rounds you were placed in, who you were paired or grouped with, whether you checked in, and your private answers about whether you'd want to meet someone again.

Sensitive data

Your meeting preferences and who you express interest in can reveal information about your sexual orientation or romantic interests — a special category of personal data under GDPR Article 9. We only collect this because you explicitly opt in when registering for an event, and we never show your private answers to anyone except the organizer — not even to the person you were paired with, until the organizer releases results and only the fact of a mutual match, never a one-sided answer, becomes visible.

Why we process this data

Organizer account data: to provide the service you've signed up for (contract). Participant data: your explicit consent, given when you check the consent box on an event's registration form — you can withdraw it at any time (see "Your rights" below).

Who we share it with

The organizer of an event you register for sees your name, contact details, preferences, and your pairing/match history for that event — that's the whole point of the service. Beyond that, we share data only with the infrastructure providers that run EventMatched, each bound by their own data processing agreement:

  • Supabase — database and authentication. Our database runs in Supabase's `eu-west-3` region (Paris, France).
  • Vercel — hosting. Our application runs in Vercel's `cdg1` region (Paris, France).
  • Resend — sends account and notification emails on our behalf. Resend is certified under the EU-U.S. Data Privacy Framework.

We never sell your data, and we never use it for advertising.

How long we keep it

Participant data for an event is kept for as long as the organizer's organization exists, or until you or the organizer delete it, whichever is sooner. If an organization has had no activity at all for 3 years, we delete its data. You can delete your own registration for a specific event at any time from your registration link — see "Your rights" below.

Your rights

Wherever you are, you have the same rights:

  • Delete your own event registration — open your registration link (sent to you when you signed up) and use the "Delete my registration" option. This removes your preferences, pairings, and match answers for that event immediately.
  • Access, correct, or fully erase your data (including your underlying contact record, which may span multiple events with the same organizer) — email info@eventmatched.com or the event's organizer directly.
  • Object to or restrict how we use your data, or ask for a copy of it (data portability).
  • Complain to a supervisory authority — in the Netherlands, the Autoriteit Persoonsgegevens; in the UK, the ICO; or your own country's equivalent.

Age

EventMatched is for adults. Registering for an event requires confirming you are 18 or older. We don't verify this beyond that confirmation.

If something goes wrong

If we become aware of a data breach affecting your personal data, we'll notify the Dutch Autoriteit Persoonsgegevens within 72 hours where required, and tell you directly if the breach is likely to put you at risk.

Changes to this policy

We'll update the date at the top of this page if anything material changes, and for any change that affects how we handle data you've already given us, we'll make a reasonable effort to let you know directly.
